Before a claim is created, hundreds of checks are run to make sure that a claim is correct and can be submitted. When an activity is created, some of the scans that take place are to make sure the client is set up for billing, to discover any relevant contracts, for notes approval, for age restrictions, for other demographics, and to make sure the provider and agency have an NPI number. Checks can run that are general to all agencies as well as specific for a certain agency or specific provider. Agencies can create additional checks if needed so nothing slips through the cracks. If there are claims with issues, a “Claims with Problems” report is created so that they can be addressed before the claim is submitted. After corrections are made the engine runs again and will keep flagging errors until the claim is 100% ready to be submitted.

After a claim is created, it’s ready to be submitted to the billing provider. For counties that have an auto-upload feature Exym auto-uploads the claims to the billing provider. For counties without the auto-upload feature, the agency uploads the 837 files to the billing provider themselves. Once claims are uploaded, payment can post and denied claims are flagged. Agencies can correct denied claims and resubmit for payment.
